Provides administrative support to the front desk and/or one or more assigned areas of the Human Resources Department. This is an entry/first working level position and incumbents are expected to work under close supervision in carrying out a variety of assigned duties, tasks and projects. Responsibilities include personnel document processing, record keeping and filing, public reception and phone coverage, data entry and maintenance of spread sheets, in-house data bases, specialized network-based and web-based HR and administrative applications, NorthBay's HR/Payroll systems. Prepares or assists with preparation of, draft and final versions of correspondence, memos, reports, and analyses. Reports to a Human Resources Services Manager.
High School diploma or equivalent required. Bachelor's Degree preferred. College level coursework in Human Resources highly desirable. Two to three years prior clerical/administrative support experience required preferably in a Human Resources department or Bachelors Degree in an HR or Business field may be substituted for the two to three years of prior clerical experience. Previous hospital/healthcare experience preferred. Must demonstrate strong written, verbal, and phone communication skills. Must be highly literate in computer use. Intermediate proficiency in Microsoft Office products including Outlook, Excel and Word. 50 words per minute keying speed highly desirable. Must be able to maintain strict confidentiality and discretion. High attention to detail and accuracy. Must be highly organized and be able to effectively multi-task while working on multiple projects in a busy office environment. Ability to learn new things quickly. Ability to build and maintain effective working relationships with others. Ability to communicate effectively and pleasantly with customers reflecting the diversity of the community. Capacity to maintain clear thinking, composure, and respect for others under pressure or unpredictable working conditions. Must have an understanding of standard office procedures and practices. Must be familiar with operation of multi-line phone systems, fax machines, copiers; Windows computer systems, printers, peripheral hardware. Requires a high level of comfort with taking initiative and being accountable for team work and service excellence.
